Unlimited Customer Records
Locate customers by their first name, last name, phone, license (tag), VIN or
vehicle. You may create permanent customer records as you write repair orders
and you only need to enter a customer's information once because InvoMax
remembers all your customers. If your customer has multiple vehicles, invoMax
automatically shows you a list of all of their vehicles and lets you select the
vehicle that you need to work on. InvoMax allows you to setup resale (tax
exempt) and dealer accounts also.
Unlimited Inventory Records
InvoMax comes with a ready to use list of basic parts such as water pumps, oil
filters, spark plugs, etc. You may add new parts as you write the repair order
and invoMax will remember the part description and price so that you don't have
to retype any of that information the next time you want to use the same part.
You can switch the inventory lookup list as you write an invoice so that it
only shows you labor only, parts only, or only parts that are in stock. InvoMax
allows you to sell a part that is not a stocking item or a part that you do not
want to put in inventory.
Unlimited Invoice Records
InvoMax allows you to enter an unlimited amount of repair orders. InvoMax does
not require you to download or delete your repair orders at the end of the
year. InvoMax allows you to keep service records for years of repairs. InvoMax
will also allow you to enter previous repair orders that you may have written
by hand or with another program.
Spelling Check
InvoMax checks your spelling. If a misspelled word is found, invoMax will give
you a choice of words to choose from to make your correction. You may add your
own words and automotive technical terms to the dictionary.
Repair Order Numbers
Find a repair order in a matter of seconds. The invoMax tool bar options like
"previous work" or "last repair order" allow you to quickly
scroll through each repair order for a customer. Repair order numbers can be
entered manually or automatically in sequential order. You can even restrict
users from manually entering a repair order number.
Work in Progress
InvoMax includes an easy to use list of work in progress that shows you each
ongoing job, the customer's name, vehicle, job description and estimated hours
of the work required. Technicians may be assigned jobs from the work in
progress review screen.
Transfer of Vehicle Ownership
Transfer the service records for any vehicle from one customer to another so
that the past service records will be included in the new owners service
records. If a customer changes the license or tag number of their vehicle, you
will not lose their service records.
Inspection Records
InvoMax lets you record the remaining tire tread, tire pressure, remaining
brake pad, condition of the coolant and battery when you service a vehicle.
This information will print out on the repair order.
Insurance Records
InvoMax records permanent insurance information for each vehicle. Record
current mileage, inspection mileage, sticker number, policy number and
expiration date.
Engine Specifications
InvoMax comes with a list of most passenger vehicles and light trucks made from
1972-2003. This list also includes the engine specifications for each vehicle.
Unlisted vehicles can easily be added to the same list.
Automatic Hazardous Waste & Shop Supplies
If these charges are used in your shop, InvoMax automatically adds them to the repair
order. You can base shop supply charges on a percentage of parts, labor, or
both parts and labor, or flat amount to be added to each repair order instead.
You can set a limit on the maximum amount of shop supply charges that can be
added to a single repair order. Hazardous waste can be a preset charge for
individual hazardous items such as motor oil, or it can be based on the jobs
that produce the hazardous waste (oil change), or manually added to the repair
order.
Warrantee Tracking
How often have you wished you had some way of quickly knowing which supplier
you bought a failed part from? InvoMax lets you tag parts on the repair order
with the name of the supplier and the invoice number the part was purchased on.
If you need to replace the part for a customer later on, InvoMax will
automatically find the repair order for the original installation of the part,
and then show you the supplier and the suppliers invoice number that the part
was purchased on.
Technician Job Tickets
The technician has his own work sheet. The job ticket shows the vehicle, the
technician assignments, parts to be used, labor descriptions, the approximate
labor times assigned to the technicians, and the engine specifications.
Built in Filter Catalogs
InvoMax automatically looks up oil, fuel and air filters for common jobs such
as lubrication service and tune ups.
Super Simple Kits
You can make reusable job kits exactly as you want including all of the
required parts, labor and comments. This will make writing a common job on the
repair order as easy as typing in a single part. You may change kit quantities
or prices without affecting the kit settings. You can write up orders in a
matter of seconds using kits.
Repair Order Pricing
InvoMax comes with a profit calculator that allows you to view the profit on
parts and labor for each repair order as you write the order or when you recall
it to the screen.
Extended Descriptions
Your customers will have more appreciation for your work when you list
everything that is included in a job such as checking the fluids, checking the
belts and hoses, topping off fluids, road testing, checking tire pressure, etc.
You may attach up to six lines of specifications to a part or labor in your
inventory. InvoMax can add the additional lines to the repair order each time
you use that part or labor code - what a time saver.
Automatic Parts Pricing
No more calculators or guess work trying to come up with the right price for a
part. As you add a part to the repair order, type in the cost from the supplier
and invoMax will automatically mark the cost up to the correct selling price.
Enter 4 mark up percentages. A sample setting could be a 150% markup on
products that cost less than $20.
Use with CD-Rom Estimating systems
You may order invoMax with an interface to any one of the following name brand
parts and labor estimating systems: ALLDATA(R) MITCHELL(R) .REAL TIME and QUICK
QUOTE. InvoMax is able to quickly switch into any of these estimating systems
directly from a repair order. InvoMax then takes your estimate and fills in the
invoMax repair order for you, again not forcing you to do double entry work. An
estimating system together with invoMax will provide the complete solution to
your automotive business management needs.
Convert Records From Your Old Software
InvoMax comes with a utility conversion program that converts the customer
files from a number of older software products. The conversions requires that
your old records are not corrupted, that they are complete and usable by the
older program. Because of many technical factors beyond our control we do not
guarantee the data conversion or the information retrieved. InvoMax commonly
converts files from the following makers of automotive software programs:
ALLEN(R), CENTRUM (R) MANDEX(R), BAYMASTER(R) , IN-COMMAND(R) , QuickBooks(R).
Mistake Recovery
Everybody makes mistakes, so we added a mistakes recovery tool. Change
completed and closed out repair orders, no matter how old the invoice may be.
Simply type in the repair order number and make the corrections. All necessary
inventory, tax, and accounting operations are taken care of by the computer.
You can even let you erase an entire invoice and rewrite it using the same
repair order number. InvoMax lets you set a special password to prevent your
employees from changing or removing completed repair orders.

InvoMax comes with a built in tutorial that provides more than 100 on screen
examples of how to do things in InvoMax.
On Screen Service Reminder
Each time you write a repair order InvoMax will show you the months and miles
since the vehicle was last in the shop for an oil change and a tune up. You can
change the oil change or tune up to a service that is specific to your business
(Such as Alignment or Brake Adjustment).
Note Pad
Reminder Attach a separate note to any customer or repair order. You can set up
a note so that it will always pop up when a specific customer comes in for
service. You can attach "alarms" to a notes so that it appears on the
screen for the exact time and date that you told it to. For example, if you
have an important phone call that you need to make in two weeks, set the note
pad to remind you in two weeks.
Repair Order Comments
You may add comments to the repair order just like you would use a simple word
processor. InvoMax wraps long sentences around to the next repair order line.
You can type in extensive recommendations.
Deposits
InvoMax lets you accept multiple deposits on work in progress. The deposit
amounts will be printed on the repair order and subtracted from the total bill.
Discounts
InvoMax lets you discount a repair order by a percentage or by a flat amount.
Discounts can be applied towards the entire repair order, only parts or only
labor.
Taxes
InvoMax includes a variety of tax settings. InvoMax comes ready to use one or
two standard tax rates. You may setup certain parts in your inventory with a
tax modifier to automatically increase or decrease the taxes charged on a
repair order. As you write a repair order you can add sales tax to parts or
labor only, or remove all tax charges. InvoMax will allow you to charge your
customers 1 of 15 different tax rates as you write the repair order.
Partial, Split or Full Payments
Your customers can pay part of the bill by cash and the remainder by check or
credit card; or vice-versa. The printed repair order shows both methods of
payment and amount of each. If a customer makes a partial payment, the
remainder due will automatically be charged to their account. Payments on
charges on account can easily be applied through one simple list of unpaid
repair orders.
Calendar of Scheduled Service
The service calendar allows you to see the jobs that you have scheduled for
upcoming days. You can even review only specific jobs that have been scheduled.
Vehicle Service History
Print a complete service history for your customer. Report on individual
vehicles for customers with more than one vehicle. Your customers will love
this report!
Daily Summary
This report can be processed for any day, summarizing closed out repair orders
and work in progress for the day. The report includes each repair order number,
customer and the vehicle worked on, a brief description of each job, how the
job was paid for and the total sales for the day. Review this report on the
screen any time during the day.
Customer Account History
Review all of the customer's previous billings, including repair order number,
date, amount, balance due, and the total balance due for all unpaid repair orders
for that customer.
Accounts Receivable
All unpaid invoices can be listed quickly on the screen in alphabetical order
or in balance due order. This organized screen allows you to efficiently apply
partial or full payments towards your customers unpaid invoices.
Inventory Stock On Hand The stock on hand is automatically reduced when you close out a repair order. You can easily update the stock on hand by entering the quantity of each part into your inventory when you receive the parts that you have ordered. You may also print reports showing the current stock on hand and inventory additions made for a selective group of your inventory.
Inventory Reports InvoMax will allow you to print out a complete list of inventory or a selective list (i.e, parts only, labor only). Print a list as a desktop reference for your customers that prints the part code, part description and list price only. If you print an inventory management report InvoMax will include the cost of the part, the quantity in stock and the total value of inventory in stock.
Inventory Re-Order Report InvoMax will allow you to run a re-order report for all inventory regardless of the supplier or just for a specific supplier. InvoMax will show you the part that you have on hand and what your minimum stock requirements are. Your inventory re-order list can be based on sales only for a set period of time rather than minimum requirements. InvoMax will show you what needs to be reordered on the screen first so that you can increase or reduce the actual quantities to be ordered before you actually print the list. InvoMax can print a list, download to a floppy disk or fax a list of what needs to be reordered within minutes. This report takes the work out of keeping fast moving inventory in stock.
